Can an AI ISA qualify buyer leads before they reach an agent?

The questions an AI ISA asks, how it asks them on text and calls, and the rules for booking a tour or handing a lead to an agent.

Yes. An AI ISA can qualify buyer leads before they reach an agent, as long as the questions and the routing rules are set in advance. It answers the buyer's question first, then asks about timeline, financing, area and whether they already have an agent, writes each answer to the CRM, and books a tour or hands the lead over when a rule says so.

On a real estate team, the inside sales agent (ISA) answers new leads, qualifies them and sets appointments for the agents who sell. An AI ISA does that job on text and calls. Judgment after the appointment stays with your agents.

What does an AI ISA ask a buyer lead?

The same few things a good human ISA asks, one at a time, after answering the buyer's own question. Each answer should change what happens next, or the question goes. Example rules:

QuestionAnswerWhat happens next
When are you hoping to move?Within 90 daysOffers a tour this week
Next yearSends matching homes, follows up later
Have you talked to a lender yet?Pre-approved or cashMoves on to booking
Not yetOffers an intro to a lender you work with
Which home or area are you looking at?A listingRoutes to the listing agent
An areaRoutes to that area's agent
Are you working with an agent already?YesThanks them and stops following up

Write a never-ask list just as carefully. The Fair Housing Act bars discrimination based on race or color, religion, sex, national origin, familial status and disability, so your script never asks about any of them and never describes who lives in a neighborhood. It sticks to the home, schools, commute and parks.

How does an AI ISA ask over text and over a call?

On text, the AI replies in the same thread the lead came from, with one question per message. On a call, it follows the same order, but it repeats numbers back ("pre-approved up to $450,000, is that right?") since spoken numbers are easy to mishear.

Either way, answers land in named CRM fields, not a free-text note, so an agent can glance at a lead and see "timeline: 60 days, financing: pre-approved, area: Westside" without reading the whole conversation.

When does the AI ISA book the agent, and when does it hand off?

Write these rules down before launch:

  • Book the tour when the buyer wants to see a home, the timeline is near and financing is in place. It offers the agent's open slots and confirms by text.
  • Hand off at once when the buyer wants to make an offer, asks for the seller's lowest price, asks for a person or sounds upset. The agent gets the whole conversation.
  • Keep nurturing when the buyer is "just looking": send a few homes and check back on a schedule.

Plan for the buyer agreement too. Since August 17, 2024, NAR's practice rules mean a buyer signs a written agreement with an agent before touring a home with them, in person or virtually (NAR). The AI can book the tour, but the agent should send and explain the agreement before it happens.

How does an AI ISA compare with a human ISA?

The script is the same. What differs is coverage and consistency. An AI ISA answers at 11 pm and on Sunday, and asks every lead the same questions in the same order. A human ISA is still better at reading hesitation and building a relationship over months. A practical split: AI takes first replies and nights, and people keep the warm calls.

In Inman's September survey of 460 agents and brokerage leaders, the share of AI "power users" working mainly in agentic or integrated tools rose from 9% in April to 30%, and 45% of them used AI to manage leads or tasks in a client database (Inman). On October 20, The Real Brokerage announced Leo Pro, which follows up with cold leads and texts buyers matching listings (Real Estate News).

Frequently asked questions

Does an AI ISA have to say it is an AI?

Say it anyway, in the first message or the first sentence of a call. For calls, the FCC confirmed in ruling FCC-24-17 that AI-generated voices count as artificial voices under the TCPA, which need the called person's prior express consent. This is not legal advice; have your broker of record review your scripts.

Can an AI ISA ask whether a buyer has kids?

No. Familial status is protected under the Fair Housing Act. If the buyer brings up schools, it can share school information for the home without asking about the family.

What should the agent see when the AI ISA hands over a lead?

The lead's name and contact, the home or area, timeline, financing status, whether they have an agent, the booked time if any, and the full conversation. The buyer should never have to repeat themselves.

Write your four questions, your never-ask list and your booking and handoff rules on one page, then test them against last month's leads. Aurora works as an AI ISA for real estate brokerages: it answers leads from portals, ads, calls and texts, qualifies them by your playbook, books the showing with the right agent and hands over the full history.
