AI answering service for contractors: from missed call to paid job
How an AI dispatcher handles emergencies, quoting, booking and the invoice for HVAC, plumbing, electrical, cleaning and roofing companies.

An AI answering service for contractors picks up every call your crew can't, works out what the job is and how urgent it is, gives a price from your own price book, and books the right technician into the schedule. The better ones also send the confirmation, invoice and follow-up, so a job can go from first ring to paid without the office touching it.
Most products sold under this name do the first part well and stop there. This guide is for HVAC, plumbing, electrical, cleaning and roofing companies deciding how far they want the AI to go.
Why do contractors miss so many calls?
Contractors miss calls because the people who could answer are doing billable work. A technician in an attic can't stop to take a new customer's details.
The trades also run outside office hours. The U.S. Bureau of Labor Statistics says plumbers often work nights and weekends and are often on call for emergencies, and that HVAC technicians may be on call and work irregular hours during peak heating and cooling seasons.
The usual fix is a receptionist. BLS puts the median receptionist wage at $38,010 a year (May 2025). That buys one person, one line at a time, during business hours. It doesn't cover the 9 p.m. no-heat call or three calls arriving at once on the first hot Monday of summer.
How does an AI answering service handle emergency calls?
It sorts every call against urgency rules you write, then acts on the level it finds. You decide what counts as an emergency for your trade. The AI applies those rules the same way at 2 a.m. as at 2 p.m.
| Urgency | Example calls | What the AI does |
|---|---|---|
| Safety emergency | Gas smell, sparking panel, burning smell from the furnace | Reads your approved safety steps, tells the caller to contact the utility or 911 where your script says so, alerts the on-call tech at once |
| Urgent today | Active leak, no heat in winter, no AC in a heat wave, roof leaking into the house | Offers the next same-day slot or after-hours rate, pages on-call if nothing is open |
| Soon | Water heater not keeping up, breaker that keeps tripping, missing shingles after a storm | Books the first regular slot that matches the skill and zone |
| Routine | Tune-up, estimate for a new system, recurring cleaning, gutter cleaning | Books at the customer's preferred time, sends prep notes |
Safety scripts should come from an authority, not from the AI. For a gas smell, Connecticut's utility regulator advises people to leave the building if the odor is strong, avoid light switches and phones in the area, and call the gas company from outside. Load wording like that, approved by you, and the AI repeats it word for word instead of improvising.
Can an AI answering service quote prices from your price book?
Yes, if it's connected to your price book and given clear rules about what it may price. Before you switch quoting on, write down:
- Your diagnostic or trip fee, and whether it's credited toward the repair.
- Flat-rate items the AI may quote as fixed prices, such as a drain clearing.
- Items it may only quote as a range, such as a water heater swap, with a tech confirming on site.
- After-hours, weekend and emergency rates, and your service area by ZIP code.
- Jobs it never prices on the phone: full system replacements, roof replacements, anything needing an inspection.
One legal point if the AI also makes outbound calls. In 2024 the FCC ruled that calls made with AI-generated voices count as "artificial" under the Telephone Consumer Protection Act. Before an AI voice calls past customers about tune-ups, check your consent records with counsel.
Frequently asked questions
Will callers know they are talking to an AI?
Callers should know. We recommend the AI says it is an AI assistant for your company at the start of the call, and your rules can send any caller who asks for a person straight to your team.
Does an AI answering service replace my field service software?
No. It works inside the field service software, CRM and calendars you already use. Jobs, customers and invoices stay where your team keeps them today.
Is an AI answering service useful for cleaning and roofing companies?
Yes. Cleaning and roofing companies get fewer emergencies but many estimate requests and recurring bookings. The AI collects the property details and photos, books the estimate visit, and schedules recurring cleanings or post-storm inspections.
